Two programs. One system to run both.

Sportspreneurs runs athlete NIL training. Activate International runs entrepreneur NIL cohorts. Tanya Hughes leads both. Before the build, neither had the digital infrastructure to match the scale she was operating at.

Registrations were tracked manually. Follow-up was inconsistent. There was no funnel structure pulling leads through to conversion, and no way to run both programs simultaneously without things overlapping or falling through.

We built a unified GoHighLevel ecosystem that gave each program its own funnel, its own automation, and its own audience journey — all tracked inside one centralised system.

The situation

100,000+ athlete campaign. No infrastructure to receive it.

NIL programs operate on time-sensitive cycles. Sessions open, fill, and close. Outreach campaigns drive traffic that needs to be captured, segmented, and moved through a defined journey quickly. Athletes and entrepreneurs are different audiences with different motivations, different communication needs, and different conversion paths.

The existing setup wasn't built for any of that. Lead capture was informal. There was no structured funnel moving prospects from first contact to registration to attendance to enrollment. When someone expressed interest, follow-up depended on manual effort. The two programs had no separation in how leads were managed, which created overlap and confusion.

Running a 100,000+ athlete outreach campaign with no infrastructure to receive and process that traffic at scale wasn't a growth strategy. It was a significant amount of effort producing unpredictable results.

The business needed a system that could handle the volume, separate the audiences, automate the communication, and give full visibility into what was converting and what wasn't.

Funnel & Landing Page System

Separate conversion funnels built for each program and each distinct offer. For Activate International: the Real NIL Alignment Session funnel, the NIL Lab cohort application and enrollment flow, and an opt-in funnel for the Alignment Guide. For Sportspreneurs: a dedicated funnel for the Championship Season NIL Training. Each funnel built with a clear journey from lead capture to final conversion — no shared pages, no audience overlap.

CRM & Pipeline Architecture

A structured CRM built inside GoHighLevel with separate pipelines for each program: The Real NIL Lab Cohort and the Athlete NIL Training Program. Every contact moved through defined stages with full visibility at each point. A tagging system built to segment leads by behaviour: guide downloaders, session registrants, attendees, applicants, and enrolled members. At any point the team could see exactly where a contact stood in their journey — no manual tracking required.

Automation System

Every stage of the journey triggered the next step automatically. Guide download sequences ran without manual sends. Session registration confirmations went out immediately. Reminder emails for live events fired on schedule. Post-session follow-ups and re-engagement sequences ran based on attendance status. Workflows built separately for entrepreneur and athlete audiences so communication was always contextually relevant. Nothing in the communication chain required a manual send.

Event & Webinar System

Live sessions built with their own infrastructure. Registration, confirmation, reminders, and post-event follow-up all automated and connected to Zoom-based session planning. Separate funnels for separate programs meant registrants for one session never received communication intended for another. The system could run multiple simultaneous program cycles without the audiences or the workflows crossing.

Campaign Enablement Infrastructure

The 100,000+ athlete outreach campaign needed somewhere to land. Landing pages and registration links were built specifically to receive that traffic and route it into the correct pipeline immediately. QR codes and direct links created multi-channel access points for the campaign, capturing volume across every channel it was running through.

The infrastructure captured the volume the campaign was designed to generate — and moved every lead into the right journey automatically, without manual sorting, manual routing, or anyone coordinating the hand-off between campaign and system.
